It saves a lot of hassle, time and money in terms of hiring staff and training them to scan documents. Finding replacements & training new staff if they old ones leave. If the business is seasonal then it puts added pressure on the HR department to hire during peak times and remove unwanted stuff during the lean period. We have big pool for well trained staff so if one leaves, they are replaced by another trained staff and also, we can add more trained people or reduce our staff during peak and lean period.
You can’t just scan your documents and call it a day, you have to actually upload and organize them so that you can find them in their digital format. We will index each one of your documents using a unique file name so that you’ll have no trouble finding them. You don’t a scenario where documents are scanned but can’t be found because they are not saved with correct nomenclature or the right meta-tags. Before starting the scanning project, we conduct a detailed study of the documents that are to be scanned in various departments of the company, this helps us in establishing the scanning and indexing process the nomenclature to be used for saving the documents and meta-data to be used to tag the documents so it becomes very easy for the users to retrieve these documents when they need them.
You don’t want employees that aren’t properly trained to scan, upload and organize documents to handle documents that are particularly sensitive. We will ensure that your documents are returned to you just as they originally were before the scanning process began – meaning that they will be in the same condition and the same place.
Scanning of documents requires secure, dedicated space for multiple staging, document preparation areas, the necessary equipment, staff and work-in- progress storage. If space is a constrain we provide off-site scanning services to our clients where the documents are picked up from the clients place and scanned in our office. However, if the documents are very confidential and the company policy does not allow the documents to be sent outside the office premises then we provide on-site scanning service where our staff and our equipment is sent to the client office for the scanning process.
